Module 3 - Onboarding Employees

INTRODUCTION

Onboarding employees to a new employee portal can be a challenging task, as it requires not only introducing the new system but also encouraging employees to use it. This lesson will teach you how to onboard and incentivize employees to use a new employee portal. By the end of this lesson, you will have a clear understanding of the steps you need to take to ensure a successful launch and adoption of your new employee portal.

LESSON

NOTE: Before you roll out your IHUBApp to the entire company, it is IMPERATIVE that you start with a small group of employees. The pilot will help you do the following steps successfully.

1. Clearly communicate the benefits.

The first step in onboarding employees to a new employee hub is to clearly communicate the benefits of the IHUBApp. We have found that generally employees care about the content more than the mechanism. Making sure you have content that is important to THEM and not just your leadership will be a difference maker.

What’s the #1 piece of content that ALL employees universally care about? Food! If your company has a cafeteria be sure to capitalize on the weekly menus and offers. If you’re remote, we encourage you to find creative ways to gift coupons and “team virtual lunches”. It is guaranteed to drive engagement!

2. Provide training and support.

Employees will be more likely to adopt the new employee portal if they are provided with the training and support they need to use it effectively. This could include in-person training sessions, online tutorials, or a dedicated support team. It's also important to provide ongoing support to help employees with any questions or issues they may have.

MAKE IT FUN! Create a buzz with your new Employee IHUBApp by having a “launch party” with free giveaways to employees who register!

3. Make it easy to use

The easier the new employee portal is to use, the more likely employees will be to adopt it. This could include things like a user-friendly interface, intuitive navigation, and clear instructions on how to use the system. By making the employee portal easy to use, you can reduce the amount of time and effort employees need to spend in order to use it effectively.

4. Incentivize use

One way to encourage employees to use the new employee portal is to incentivize its use. This could include things like bonuses or rewards for employees who use the system regularly, or recognizing employees who make significant contributions to the system. By providing incentives, you can help employees see the value in using the new employee portal and encourage them to use it more often.

5. Engage the employee

Employee engagement is key to ensuring that employees are comfortable and confident in using the new employee portal. This can be achieved through activities such as regular user group meetings, focus group sessions, and surveys. By engaging with employees and understanding their needs and concerns, you can help to build trust and encourage them to use the new system.

6. Monitor and measure

Finally, it's important to monitor and measure the adoption and usage of the new employee portal. This could include tracking login times, usage statistics, and feedback from employees. By monitoring and measuring the success of the new employee portal, you can make data-driven decisions on how to improve it, and ensure that the employees are getting the most out of it.

SUMMARY

Onboarding and incentivizing employees to use a new employee portal can be a challenging task. However, by following the steps outlined in this lesson, you can ensure a successful launch and adoption of your new employee portal. By clearly communicating the benefits, providing training and support, making it easy to use, incentivizing its use, engaging the employee, and monitoring and measuring the success of the new system, you can help employees understand the value of the new employee portal and encourage them to use it more often. Remember that employee engagement is key to ensure that employees are comfortable and confident in using the new employee portal.
